How It Works

Clear process.
Zero surprises.

Every project follows the same structured flow — from first inquiry to final handover. You'll always know what's happening, what's next, and what's expected from both sides.

The Tool Behind the System

What is Notion —
and why it works.

Before we build, it helps to understand the tool. Notion isn't just a note-taking app — it's a flexible workspace that replaces five tools at once, and keeps everything in one place.

Notion
The all-in-one workspace

Notion is a connected workspace where teams and individuals manage notes, tasks, databases, wikis, and projects — all in one tool. Think of it as a blank canvas that becomes exactly what your business needs it to be.

Core Features
🗄️
Relational Databases

Link your projects to clients, tasks to deadlines, and content to campaigns. Everything connects — no duplicate data, no copy-paste across sheets.

Linked databasesRelationsRollups

Multiple Views

The same data, seen differently. Switch between Table, Board, Calendar, Gallery, Timeline, and List — each showing exactly what you need in the moment.

Automations

Trigger actions automatically when something changes. Move a task to "Done" and Notion can notify your team, update a status, or create a new record — without you lifting a finger.

Integrations & Connections

Notion connects
with everything.

Notion doesn't live in isolation. It integrates natively or via automation tools like n8n and Zapier — so your workspace stays in sync with the rest of your stack without manual updating.

Native Integrations
Slack — get Notion updates in channels
Google Drive — embed and link files directly
GitHub — link PRs and issues to tasks
Figma — embed designs inside pages
Notion Calendar — sync tasks with calendar
Notion Mail — email connected to workspace
Via Automation (n8n / Zapier)
Instagram / TikTok — auto-log content performance
WhatsApp — send updates from Notion triggers
Google Sheets — bi-directional data sync
Gmail / Outlook — log emails as CRM entries
Typeform / Tally — intake forms → Notion database
Payment tools — log orders automatically
Honest Assessment
Why Notion works
  • One workspace replaces 5–6 separate tools
  • Flexible enough to fit any workflow or business model
  • Free plan is genuinely usable for individuals
  • Mobile app is powerful, not a stripped-down version
  • Easy to learn — most people are comfortable within a week
  • Templates and systems are portable and shareable
  • Grows with your business — scales from solo to team
What to be aware of
  • Can become chaotic without a clear structure (that's where I come in)
  • Not ideal as a primary CRM for large sales teams
  • Advanced automations require the paid plan
  • Offline mode is limited compared to desktop apps
  • Real-time collaboration can lag on very large databases
Client Journey

What happens
at every step.

This is the full journey from your first message to a working system in your hands.

01
Phase 01 — Discovery
You reach out.
We talk.

You book a free 30-minute discovery call or send a message via the inquiry form. No commitment needed at this stage — it's simply a conversation to see if we're a good fit and which service makes the most sense for your situation.

  • You fill in the short inquiry form
  • We schedule a 30-min video call (or async if preferred)
  • I ask about your workflow, pain points, and goals
  • We align on the right service and scope

02
Phase 02 — Intake
You share.
I listen closely.

After the discovery call, I send you a structured intake form. This is where you document your current workflow, what tools you use, your business context, and what "done" looks like for you. The more you share, the better the system I can design.

  • You complete the intake form (15–20 min)
  • Share access to your existing workspace (if applicable)
  • Clarify team size, roles, and main use cases
  • I review everything before sending the proposal

03
Phase 03 — Proposal
Clear scope.
No surprises.

I send a written proposal outlining exactly what will be built, the timeline, deliverables, and final pricing. Work doesn't start until you've read and approved it. This protects both of us and sets clear expectations from the start.

  • You receive a detailed written proposal
  • Review scope, deliverables, and timeline
  • Ask questions or request adjustments
  • Approve and make initial payment to begin

04
Phase 04 — Build
I build.
You stay in the loop.

Once approved, I get to work. You'll receive progress updates at key milestones. If I need clarification mid-build, I'll ask async — no long calls, no waiting. I aim to keep interruptions minimal while keeping you informed.

  • System architecture is built first, structure before content
  • Mid-point check-in shared for your review
  • You give feedback — one round of revisions included
  • Final system tested across desktop and mobile

05
Phase 05 — Handover
You receive.
You own it.

Delivery includes the completed Notion workspace, a written SOP guide, and a walkthrough session (for Optimization and Custom Build). After handover, post-delivery support is available for any adjustments or questions that come up.

  • Full system delivered with written SOP
  • Walkthrough call (Optimization & Build tiers)
  • 7–14 days async support post-delivery
  • You own everything — no lock-in, no recurring fees

🗣️
Honest communication

If something isn't feasible within your budget or timeline, I'll tell you directly. No over-promising, no scope creep without conversation. You'll always know the real status of your project.

Async-first, always

Most communication happens async via written messages. Calls are scheduled only when they genuinely save time — not for status updates that could be a paragraph. Your time matters as much as mine.

📱
Mobile-first delivery

Every system is tested and optimized on mobile before delivery. If it doesn't work on your phone, it doesn't leave my workspace. That's a non-negotiable standard on every project.

📖
You're never left guessing

Every system includes written SOPs that explain what each database does, how to use it, and how to update it yourself. The goal is for you to be fully independent after handover.

🔒
Your data stays yours

I never retain access to your workspace after delivery unless explicitly requested for ongoing support. All access is revoked on handover day. Your business data is yours — always.

🎯
Minimal, not empty

Minimalist doesn't mean bare. Every system is lean but complete — built with exactly what you need, nothing you don't. Clean by design, not by laziness.

Communication Guidelines

How we stay
in sync.

Clear communication makes projects run smoothly. Here's how I work with every client.

Response Time

All messages are answered within 48 business hours. Urgent questions are typically answered same-day. I don't do instant replies — but I do prioritize clear, complete responses over fast, vague ones.

📬Primary Channel

All project communication happens through a shared Notion project page or email thread — one place, no scattered DMs. This keeps everything documented and easy to reference.

🔁Revisions Policy

Every project includes one round of revisions before final delivery. Revisions mean structural or content changes — not scope additions. Additional changes beyond this are quoted separately.

🚫What I Don't Do

I don't take on rush projects without a rush fee. I don't start work before proposal approval. I don't accept payment after delivery. These protect both parties and keep the project clean.
